Key Responsibilities:

Incident Management:

•        Serve as the primary escalation point for complex or recurring IT incidents across all JMTS locations, owning the full lifecycle from triage through post-incident review.

Key Responsibilities

Collections & Cash Flow Management

• Monitor assigned accounts and identify overdue balances
• Execute collection efforts through phone, email, and written communication
• Prioritize accounts and maintain consistent follow-up to drive resolution
• Document all collection activity and payment arrangements accurately
• Partner with leadership on escalation decisions, including write-offs or legal action
• Support cash forecasting by providing updates on expected collections

Billing & Issue Resolution

• Investigate and resolve billing discrepancies and disputes
• Work cross-functionally to ensure accurate invoicing and account reconciliation

Customer Communication

• Maintain professional, solution-focused communication with customers
• Address concerns promptly while preserving strong customer relationships
• Keep detailed records of all interactions and outcomes

Account Maintenance & Reporting

• Update customer account information to ensure accuracy
• Process and apply payments in a timely manner
• Prepare and review aging reports, highlighting risks and trends

Team & Administrative Support

• Assist with general administrative tasks to support AR operations
• Participate in team meetings and contribute to process improvements

Qualifications

• High school diploma or equivalent required
• Experience in collections, accounts receivable, or customer service preferred
• Strong Microsoft Office skills, particularly Excel
• Experience with accounting systems (Sage a plus; training provided)

What You’ll Do

Project Coordination & Execution

• Manage onsite service projects from initial planning through execution, QA, and final billing
• Serve as the primary liaison between technicians, internal teams, service representatives, and customers
• Confirm scope, requirements, and technician readiness prior to dispatch
• Track milestones and proactively identify and resolve risks to timelines or deliverables

Scheduling & Logistics

• Coordinate technician schedules based on skillset, certifications, and job requirements
• Ensure readiness of equipment, PPE, and job kits
• Communicate schedules, expectations, and updates to all stakeholders

Customer & Recurring Project Management

• Support recurring project timelines (60/30/14-day planning milestones)
• Coordinate project approvals, site readiness, and kickoff meetings
• Maintain strong communication with customers to ensure alignment and satisfaction

Post-Project Closeout

• Oversee job closeout including QA review, documentation, and billing coordination
• Ensure timely submission of certifications, reports, and invoices
• Track returned equipment, coordinate lab evaluations, and manage follow-up quotes

Compliance & Quality

• Ensure all work aligns with company safety standards and regulatory requirements (ISO 17025, ANSI Z540)
• Maintain accurate documentation and support quality assurance processes
• Monitor technician compliance for site access and safety requirements

What We’re Looking For

• 2+ years of experience in project coordination, dispatch, or operations (technical/industrial environment preferred)
• Strong organizational and time management skills with the ability to manage multiple projects simultaneously
• Excellent communication skills and ability to collaborate across teams
• High attention to detail with a focus on accuracy and follow-through
• Proficiency in Microsoft Office; experience with ERP or job tracking systems is a plus

Preferred Qualifications

• Experience in calibration, metrology, or technical service environments
• Familiarity with quoting, purchase orders, and B2B service workflows
• Knowledge of ISO 17025, ANSI/NCSL Z540, or similar quality standards
• Experience in field service coordination or multi-site project support

The Business Operations Manager plays a key role in supporting customer growth, improving internal processes, developing employees, and ensuring operational excellence across administrative, customer support, and business operations activities.

Key Responsibilities

Operations & Business Management

• Lead and support business operations teams by setting clear expectations, driving accountability, and promoting JM Test Systems’ core values.
• Plan, organize, and oversee operational and administrative activities to support company objectives and customer satisfaction.
• Monitor workflows, operational performance, and service execution to ensure work is completed accurately, efficiently, and on time.
• Support implementation of operational process improvements, policy updates, and organizational initiatives.
• Partner cross-functionally with Operations, Sales, Calibration, ESL, Onsite, and Customer Support teams to improve communication and execution.
• Oversee administrative support functions including office operations, records management, purchasing coordination, and facility-related support activities.
• Monitor operational expenses, supplies, and support-related budgets while identifying opportunities for efficiency improvements.
• Analyze operational and customer performance metrics to support business decisions and continuous improvement efforts.

Customer Relations & Retention

• Oversee quote and customer support activity across multiple service lines including Calibration, ESL Testing, Onsite Services, and Sales Support.
• Ensure customer requests, quotations, and follow-up activities are monitored through completion to support customer retention and growth.
• Assist in identifying new business opportunities and supporting strategic growth initiatives within target industries and customer accounts.
• Utilize customer feedback, retention data, and service metrics to identify trends and improve customer experience.
• Support resolution of customer concerns by partnering with internal teams to drive timely communication and issue resolution.
• Prepare and present operational and customer activity updates during leadership and operational meetings.

Leadership & Team Development

• Supervise, coach, and develop administrative and operational support employees.
• Assist with hiring, onboarding, training, scheduling, and performance management activities.
• Promote a positive, team-oriented culture focused on accountability, responsiveness, and continual improvement.
• Provide ongoing feedback, support employee development, and help identify growth opportunities within the organization.
• Ensure employees follow company policies, procedures, and safety expectations.

Administrative & Operational Support

• Support office operations including documentation, reporting, scheduling, procurement coordination, and work order processing.
• Maintain organized work environments and ensure operational resources and supplies are available as needed.
• Coordinate with external vendors and business partners as required.
• Assist with additional operational, administrative, or customer support duties as assigned.

Qualifications

• High school diploma or GED required; associate’s or bachelor’s degree in Business, Operations, Management, or related field preferred.
• 3+ years of leadership, supervisory, or operations management experience preferred.
• Experience in customer service, business operations, industrial services, or technical service environments preferred.
• Strong organizational, problem-solving, and decision-making skills.
• Excellent communication and interpersonal skills with the ability to collaborate across departments.
• Ability to prioritize tasks, manage multiple responsibilities, and adapt in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams).
